Module 2 – Using the system
2.1 Getting started
OpenOffice.org (OOo) must be loaded (option usually selected to load on startup) and the ICE server started to gain access to the ICE system. After logging in, synchronize with the server and checkout content with the Update function if required.
2.1.1 Check OOo is loaded and start the ICE server
Check that OpenOffice.org (OOo) is loaded.
Windows – If OOo is automatically loaded at start-up, a Quickstarter
icon will display on the Windows taskbar. Mac – To start OpenOffice.org, run the application file via Finder (Finder > Applications > OpenOffice.org2.3.app).
Start the ICE server.
Windows – From the Windows taskbar, select Start > Programs > ICE > ICE server.
Mac – Run the application file via Finder (Finder > Applications > Ice > Ice.app).
2.1.2 Login and synchronize with the server
If the repository requires authentication, login using your username and password. The Login screen provides an option to work offline. This means the ICE system can be used to view and edit content. However, you can’t synchronize with the repository.
Login and synchronize
Follow the process for 2.1.1 Check OOo is loaded and start the ICE server.
From the Windows taskbar, select Start > Programs > ICE > ICE login. An Internet browser will open.
From the ICE toolbar, select a repository from the dropdown list (if you have access to more than one repository).
From the ICE toolbar, click the Login button, insert your username and password then click the Submit button.
From the ICE toolbar, click the Synchronize button to synchronize local and server files.
Navigate to the required package.
Work offline
Ensure you have synchronized with the server recently and have the latest version of content locally before working offline. Login after ensuring that OpenOffice.org is loaded and the ICE Server has started.
Follow the process for 2.1.1 Check OOo and start ICE server.
From the Windows taskbar, select Start > Programs > ICE > ICE login. An Internet browser will open.
From the ICE toolbar, select a repository from the dropdown list, if you have access to more than one repository.
From the ICE toolbar, click the Login button then click the Work Offline button.
Navigate to the required package.
2.1.3 Update and shelve
ICE uses a partial checkout process, so that all of the content you have access to is not downloaded locally. This saves time in the synchronization process and reduces the space required in your local directory. Access via the Commands section in the ICE file view.
Update
After synchronization, directories with an Update hyperlink indicates that you have access but need to update (download) the content from the server to your local directory.
Click the Update hyperlink at each directory level as required until you reach a package.
Shelve
Ensure the content has been synchronized with the server prior to using Shelve. Shelve content to remove the local copy when you no longer need access locally. After a Shelve, the directory will be visible with an Update hyperlink.
From the ICE toolbar, click the File view button. Navigate to the content and click the Options icon then click the Shelve hyperlink.

2.3 Installation self-update
For Windows only, there is a function to self-update versions of ICE.
From the Windows taskbar, check that the OpenOffice.org Quickstarter
icon is visible.From the Windows taskbar, select Start > Programs > ICE > Options > Update ICE. The ICE server command window will display.
When processes have finished, a message will inform you to Press any key to continue. Press any key on the keyboard and the ICE server window will close.
Start the ICE server for the updates to be completed. From the Windows taskbar, select Start > Programs > ICE > ICE server.
2.4 Skin
The skin is the package wrapper which controls how the content is displayed. Files such as site templates, images, CSS (Cascading Style Sheets) are part of the skin.
2.5 Navigation
Various navigation options are available within the ICE HTML view. There may be some variation to the examples shown, depending on the package skin.
- Contents
- Access via the Contents hyperlink on the left-hand menu. Navigation items for the package are displayed.

- Context hyperlink
- Also known as a breadcrumb trail, provides a linked path in order to provide the reader with additional navigation and the context of the document being viewed.

- Left-hand menu
- The default display is first-level items. If sub-level items are included, the first-level item will gray out when clicked and the sub-level items will display.

- Mini table of contents
- Displays first and second level styled items below the title in the HTML view.

- Navigation arrows
- Arrow icons for top, previous, up and next on the right-hand side of the screen. The top arrow is located at the bottom of the screen to quickly navigate to the top of the screen.

2.6 HTML view screen icons
The available screen functions will vary according to file formating, skin inclusions and file options.
- Slide
- A Slide
icon displays in the HTML view when a document has been formatted to create a slideshow and the skin has the required template. - MP3
- A MP3 audio
icon displays in the HTML view when Text to speech has been selected in the file options. - A PDF
icon displays in the HTML view to provide a printable version of the screen content. ICE creates the PDF from the word-processor file. - If the package contains a PDF icon on the Contents screen, a Book file has been created and is located in the root of the package. A Book can be built to combine files for printing. Do not edit content via the book file.
- Source document
- A Source
icon displays in the HTML view to access the source file of the screen content.
2.7 Toolbar functions
A toolbar at the top of the ICE HTML view contains buttons, icons, tabs and hyperlinks to call ICE functions. The toolbar is not exported with the content.
2.7.1 Home
Home takes you directly to the File view of the repository root level.
From the ICE toolbar, click the Home
icon.
2.7.2 Refresh
Refresh (redisplay) the current screen. When a displayed document has been modified, click the Refresh icon to render then redisplay the screen to proof in the HTML view.
From the ICE toolbar, click the Refresh
icon.
2.7.3 Synchronize and synchronize package
Synchronize with the server and other users. Checks for and renders (if required) new and updated server and local files. Two way process to download server files to your local directory and upload local files to the server. It is recommended to close ICE documents before synchronization.
From the ICE toolbar, click the Synchronize button or Synchronize package button.
- Synchronize
- Synchronize is available outside of a package. The directory accessed and its sub-directories will be synchronized.
- Synchronize package
- Synchronize package is available within a package. Only that package will be synchronized.
2.7.4 Edit
Opens the HTML displayed file for editing in the word-processor it was created in.
From the ICE toolbar, click the Edit button.
2.7.5 File view
Manage ICE content files.
From the ICE toolbar, click the File view button.
Functions
- Source (src) folder
- Files included in a src folder, will not be rendered, added to the HTML navigation or exported with the Web and CD content. ICE will however, place those files under version control in the repository.
- Media folder
- Files included in the media folder (including sub-folders but not src folders) will not be added to the navigation. However, they can be hyperlinked to and will be exported with the Web and CD content.
- Files in the media folder cannot be accessed through the Organizer.
- Path
- Use the Path hyperlinks to navigate through the repository.
- Synchronize
icon – Synchronize all or selected files in the path with the repository and other users. If offline, the icon will be gray. - Checkbox, folder and file icons
- All checkboxes
icon – Select/deselect all of the item checkboxes with one click. - Checkbox
icon – Select/deselect individual items. - DOC
icon – Open or save a Word file. - File
icon – Open a file in its native program or in the browser. - Folder
icon – View sub-directories and files. - HTML
icon – View the file as HTML. - ODT
icon – Open a Writer file. - PDF
icon – Open a PDF (Portable Document Format) file. - PPT
icon – Open a PPT (PowerPoint) file. - SWF
icon – Open a SWF (Shockwave Flash) file. - Zip
icon – Open or save a Zip file. - Name
- ../ hyperlink – Navigate to the parent of the current directory (go up one level).
- Folder name hyperlink – View sub-directories and files.
- Title hyperlink – View the file as HTML or other relevant format (e.g. PDF).
- Title hyperlink in ‘src’ folder – Open the file in its native program.
- Filename – Displays the file name including extension.
- Commands
- Update – A hyperlink will display if you have access. Download content from the server to your local directory.
Click the Update hyperlink at each directory level as required until you reach a package. 
- Open system folder
icon – Opens the folder in the operating system file manager. - Edit
icon – Opens a file for editing in its native program or in the browser. - Edit book
icon – Opens the Book editor. - Cut
icon – Move an item from one location to another.
Click the Cut icon (the item checkbox will be selected) then navigate to the required location and click a Paste
icon. The item will not be removed from the original location until it has been pasted in a new location. - Copy
icon – Copy an item to paste in the same or another location.
Click the Copy icon (the item checkbox will be selected) then click a Paste
icon either in the current location or Navigate to another location. If the file is pasted in the same location as the copied file, the new file will include Copy of as a filename prefix. Rename the file. - Paste
icon – Paste an item that has been copied or cut.
To paste into the current location or navigate to another location first, click the Paste icon located to the right of the synchronize icon.
- To paste inside a folder, without entering the folder, click the Paste icon located in the Commands section for a folder.
- Options
icon – Display or close the list of options. The options will vary, depending on the item the options relate to. - Rename – Change the filename of an item.
Click the Rename hyperlink for the item name to become editable. Change the name then click the Save button. Click the cancel hyperlink instead of saving if renaming is no longer required. - Sync – Synchronize the selected item only with the server when online. If offline, the option will not be available.
- Revert – Revert the item to the previous repository version.
- Log – Display or hide the last three revision history items. If offline, the option will not be available.
- Delete – Delete an item from the package.
After clicking the Delete hyperlink, a dialog box will display to verify the deletion request. If the item has not been synchronized with the server, it will be deleted. If the item had previously been synchronized with the server, it will be marked for deletion and remain until synchronized again. - Shelve – Remove the local copy of content.
Ensure the content has been synchronized prior to using Shelve. After clicking the Shelve hyperlink, the local version of the content will be deleted. The directory will display an Update hyperlink beside it. To download the content from the server to your local directory, click the Update hyperlink. - Unzip – Extract files from a Zip file into the current directory.
Click the Unzip hyperlink. - Render for ICE – The system will attempt to render a file to HTML and PDF. By default, Writer and Word files have the option selected.
Deselect the option for a Word file that must open in Word and not convert to HTML and PDF. - Links as endnotes – Display external URLs, from text or image hyperlinks, as endnotes at the end of the ICE created PDF. Available to use with Writer and Word.
- Text to speech – Create a MP3 audio version of the file. Only available if configured and with appropriate skin.
Select the Text to speech checkbox and render the document. A MP3 audio
icon will display on the right-hand corner of the HTML screen. Click the icon to play the audio file.
- Rename – Change the filename of an item.
- Date
- Represents the date retrieved or modified from the repository or last modified. The format is Year-Month-Day.
- Status
- Compare files to database – When the checkbox is selected, the status of each item will display in relation to the database (e.g. In sync, Modified). It may slow ICE performance while the database is checked, so only use as required.
- Added – Marked for addition to the repository.
- Conflict – Modified and out-of-date compared to the repository version.
- Deleted – Marked for deletion but has not been synchronized.
- InComplete – Synchronization with the server was incomplete.
- In sync – Local content is up-to-date with the repository.
- Missing – Exists in the repository but is missing locally.
- Modified – Modified, compared to the same item in the repository.
- (offline) – The status is not being compared to the database. This improves performance.
- Out-of-date – Older than the version in the repository.
- PropModified – The local Subversion properties are different to the repository version.
2.7.6 Organizer
Arrange the navigation structure, edit titles and set properties. The Organizer will recognize and add new files to the navigation and render modified files.
- Edit a title
- Edit the package or item title. The title is retrieved from the word-processor document property field and displayed in the HTML view navigation. The navigation title display can be edited.
Click the Edit
icon relevant to the package title or other item. Edit the title then click the OK hyperlink. - Restore
- Option available only if a title has been changed from the document property field title.
- Home
- Set the home page for the package. A file, other than the default contents screen, can be selected to display as the initial HTML view screen (home page).
Click Home and the option becomes bold to recognize the selected home page. - Expand or minimize sub-levels
- When items have been included as sub-levels, a plus or minus sign appears next to the first-level item.
- Expand – Click the Plus sign
icon to expand the sub-level list. - Minimize – Click the Minus sign
icon to minimize the sub-level list. - Hide
- Hide the item from the HTML view navigation only. Sub-level items of a hidden first-level item will also be hidden.
Select the Hide checkbox. - Re-order
- Re-order items to first-level or a sub-level.
Click and drag an item to the required location.
2.7.7 Search
By default, the search will be within a package.
- Basic search
- Option 1 – Enter a search query in the textbox then click the Search button. The Search screen displays with advanced search options and results.

- Option 2 – Without entering a search query, click the Search button to display the Search screen with advanced search options. Enter a search query in the textbox then click the Search button.
- Advanced search options
- Search with advanced options in the current path or the repository.

- Tags only – Search for a tagged document.
Only available if configured. Enter a tag name in the textbox and select the Tags only option. Select the search option (e.g. Search all or current path) then click the Search button. Currently, tagged documents are searchable but not directories. - Search all – Search the whole repository.
- Search path – Displays the current package path.
- Filename – Search for a filename in the repository. The search is case sensitive.
Select a search option (e.g. current package path or Search all). Type the filename then click the Search button.
2.7.8 Rep
Rep stands for Repository. A dropdown list will display if you have access to more than one repository.
From the ICE toolbar, select a repository from the dropdown list then click the Login button. Insert your username and password then click the Submit button.
2.7.9 Add tab
Add files and folders or upload files into the package.
- Type
- Add a new folder or file.
From the ICE toolbar, click the File view button then navigate to the required location. From the ICE toolbar, click the Add tab. From the Type dropdown list, select folder or the relevant file template. Type a name in the Name textbox (if adding a file, do not include a file extension) then click the Submit button. - Upload file
- Upload a file into the ICE package.
From the ICE toolbar, click the File view button then navigate to the required location. From the ICE toolbar, click the Add tab then from the Upload file section, click the Browse... button. From the File Upload window that opened, locate then select the file and click the Open button. Either, click the Submit button, or click the Add another file hyperlink to go through the process again, then Submit.
2.7.10 Manage tab
The processes below will be related to the Manage tab with selected items. Most functions can also be achieved via Commands in the File view. If a button is gray, you may not be in a location in the package where the function can be used.
- Cut
- Move a selected item from one location to another.
From the ICE toolbar, click the File view button then navigate to the required location and select the item Checkbox. From the ICE toolbar, Manage tab, click the Cut button. Navigate to the required location. From the ICE toolbar, Manage tab, click the Paste button. The item will not be removed from the original location until it has been pasted in the new location. - Copy
- Copy a selected item to paste in the same or another location.
From the ICE toolbar, click the File view button then navigate to the required location ans select the item Checkbox. From the ICE toolbar, Manage tab, click the Copy button. Navigate to another location if required. From the ICE toolbar, Manage tab, click the Paste button. If the file is pasted in the same location as the copied file, the new file will include Copy of as a filename prefix. - Paste
- Paste is only available after using Cut or Copy. Follow the Cut or Copy process which includes how to Paste.
- Delete
- Delete a selected item/s from the package.
From the ICE toolbar, click the File view button then navigate to the required location and select the item/s checkbox. From the ICE toolbar, Manage tab, click the Delete button. If the item/s have not been synchronized with the server, it will be deleted. If the item/s have previously been synchronized with the server, they will be marked for deletion and remain available until synchronized again. - Update selected
- Update the selected item with the most recent version from the server to your local directory. Use for selected files when you may not be ready to synchronize all of your content.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Manage tab, click the Update selected button. - Referring pages
- Check if there are internal hyperlinks to the displayed page. A useful check before deleting a file.
Navigate to the HTML view of the file to be checked. From the ICE toolbar, Manage tab, click the Referring pages button. A screen displays with either a list of pages or a message that no links were found. 
2.7.11 Publish tab
Some of the publishing functions may not be available to all ICE users. If a button is gray, you may not be in a location in the package where the function can be used.
- Atom Pub
- The Atom Publishing protocol can be used for creating and updating web resources.
Navigate to the HTML view of the file to be published. From the ICE toolbar, Publish tab, click the Atom Pub button. The Publish screen displays. Fill in the details then click the Publish button. 
- SWORD deposit
- SWORD (Simple Web-service Offering Repository Deposit) is a lightweight protocol for deposit and is a profile of the Atom Publishing Protocol. SWORD is a JISC-funded project 2007-2008. ICE uses the SWORD protocol to deposit documents and packages into repositories. It allows a user creating research content in ICE to submit it to a research repository using the same authoring tool.
From the ICE toolbar, Publish tab, click the SWORD deposit button. The Deposit screen displays. Fill in the details then click the Get collections button. 
- Template
- Change the ‘look and feel’ of the exported content for a specific purpose. For example, a CD template could include a splash screen for export to a CD version.
Select a template from the dropdown list then click the Export button. - Check links
- Check links is only available within a package. Check a package for invalid internal links and list all external links. It is recommended to perform a Check links (so invalid hyperlinks can be resolved) prior to exporting.
From the ICE toolbar, Publish tab, click the Check links button. 
- Internal links – Displays a list of invalid hyperlinks between content in the package. Resolve all invalid links then perform a Check links again to ensure all are now valid.
- External links – Displays a list of all external hyperlinks throughout the package. This alleviates locating and checking through individual files. ICE does not validate external hyperlinks. Manually check external hyperlinks and resolve if necessary.
- Other package links – If there are hyperlinks to other packages, a warning message with the invalid hyperlinks will display. Resolve the hyperlinks so they will not be invalid when exported.
- Export
- A package is ready for export after proofing and validation of hyperlinks. The export creates a standalone HTML version of the package in a Zip file within an exports directory (according to the repository settings).
From the ICE toolbar, Publish tab, select a Template from the dropdown list then click the Export button. - Export to Moodle
- For USQ users only – The exported package Zip will be uploaded directly into a Moodle course.
For further details see 7.4.3 Export to Moodle. - Export document
- Export the document displayed in HTML viewto a Zip file. Allows a user to transport content with skin, images and all renditions in a single place.
Navigate to the HTML view of the file to be exported. From the ICE toolbar, Publish tab, click the Export document button. Select a template and options then click the Download Zip button. From the File Download dialog box, click the Save button. Navigate to the required location then click the Save button. 
- Email the document displayed in HTML view. Only available if configured to email files from ICE.
Navigate to the HTML view of the file to be emailed. From the ICE toolbar, Publish tab, click the Email button. Select a Template from the dropdown list. Do not include a username and password. From the To section, insert an email address, check the Subject is correct then click the Send button. 
2.7.12 Advanced tab
- Edit config
- Edit the configuration file which details ICE settings and repository access. Most users will not have any requirement to access the configuration file.
From the ICE toolbar, Advanced tab, click the Edit config button. The Config editor will open. - Make edits – After editing, click a Save button then a Close editor button.
- Add another repository – Click the Add repository button then insert the details. Click a Save button then a Close editor button.
- Copy package
- Copy a package to create another version of the entire package in a repository. (Used by support staff with access.)
After access has been setup, navigate to the package to be copied. From the ICE toolbar, Advanced tab, click the Copy package button. The Copy package screen displays the From details of repository and path. Complete the To details then click the Copy button. A success message will display with a hyperlink to the new package. 
- Repository – Select a repository for the new package.
- Copy to path – Insert the repository path for the new package.
- New subject – If required, insert a new document Subject property. The properties of a document can be found via File > Properties.
- Comments – Select only if you want comments in the package being copied to also be included in the new package.
- Skin – By default, this option is selected. If the package includes a local skin, it will also copy to the new package. If the package does not have a local skin, the package will use the skin located at the repository root level.
- Deselect the option if the package has a local skin and you do not want it to copy to the new package.
- Generate selected readings
- For USQ users only – If readings for a course with online delivery mode are stored in the DiReCt (Digital Resource Collection) system, the Generate selected readings function will generate a list of readings in the package. For further details see 7.4 Selected readings in DiReCt.
- Render selected
- Render a selected modified document. Note that while browsing the content, ICE will automatically render a document about to be viewed if it recognizes that edits have occurred.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Render selected button. - Force render selected
- Force a render of the selected item whether it has been modified or not.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Force render selected button. - Force sync selected
- Force a synchronization with the repository of a selected item if directed by support staff or having difficulty rendering a file. Prior to a normal Synchronization, files are rendered. If there are problems with a file, a Synchronization may be prevented and an error message displayed.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Force sync selected button. - Revert selected
- Revert a selected item to the previous repository version. All local modifications that have not been synchronized with the server will be lost.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Revert selected button. - Convert selected to Writer
- Convert a selected Word document to a Writer document.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Convert selected to Writer button. - Convert selected to Word
- Convert a selected Writer document to a Word document.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, click the Convert selected to Word button. - Repair selected
- Repair a selected Writer document with a selected template.
From the ICE toolbar, click the File view button then navigate to the required location and select the item checkbox. From the ICE toolbar, Advanced tab, select a template option from the dropdown list then click the Repair selected button. After the repair, check formatting and pagination. - SVN cleanup
- An ICE error message or support staff may direct you to use the SVN cleanup when a Subversion (version control system for the repository) command is not completed successfully. For example, when performing a Synchronization. Only available if a path or item have been selected. Perform the cleanup at least a couple of repository levels higher than the problem area.
From the ICE toolbar, click the File view button then navigate to the required location and select the All or item checkbox. From the ICE toolbar, Advanced tab, click the SVN cleanup button.
2.7.13 Tagged with
Tag a document in a repository for future reference, or collaboration purposes. Tags are used in a similar way to Delicious (a social bookmarking web service).
Only available if configured. Display the document to be tagged in HTML view, then from the ICE toolbar, click the Tagged with hyperlink. Insert a tag name then click the Update tags button. When a document with a tag is in HTML view, the tag name will display next to the Tagged with hyperlink on the ICE toolbar.
2.8 Comments
A comment relating to a paragraph can be inserted while in the HTML view.
- Hide comments
- From the ICE toolbar, right-hand side, click the Hide comments hyperlink to hide comments in the document. The number of opened and closed comments are displayed.

- Show comments
- From the ICE toolbar, right-hand side, click the Show comments hyperlink to show comments in the document. The number of opened and closed comments are displayed.

- Insert
- Add a comment that users can reply to.
Click the blue paragraph
marker at the end of a paragraph. The Comment on this dialog box will display. Type the comment then click the Submit button. 
- The comment displays below the paragraph it relates to.

- Reply
- Add a reply to an existing comment.
Click the Reply button on an existing comment, type the reply then click the Submit button. 
- The original and reply comments are available.

- Close
- Close a comment so no further comments can be added.
Click the Close button on an existing comment. 
- The comment is closed with a Delete button available.

- Delete
- Totally removes a comment.
The comment must be closed before it can be deleted. Click the Delete button on an existing comment. 
2.9 Books
2.9.1 Book editor
From the ICE toolbar, click the File view button. Navigate to the book file then click the Edit book
icon.
- Title
- After editing the properties in the Writer book file, the title will display on the Book editor screen after a refresh.
Click the Edit
icon next to the Title to change the displayed title of the book PDF. - Rebuild & render book, Render book, View HTML book, View PDF book
- Rebuild & render book – Rebuild the Writer book file and render an updated version of the PDF when documents in the book have been modified.
- Render book – Render an updated version of the PDF. After using the Rebuild book function, the Rebuild & render book hyperlink will change to Render book.
- View HTML book – View a HTML version of the book as one file. Available when the Render as HTML and PDF option is selected prior to clicking the Rebuild & render book or Render book hyperlink.
- View PDF book – View the rendered PDF version of the book.
- Open [filename].book.odt
- Open the book file in Writer to edit properties, cover pages etc. A warning message asks if you are sure you want to edit the file. Open the individual files to edit then rebuild the book. Do not edit the included document content within the book as changes will be lost when the book is rebuilt.
- Render as PDF only
- Produce a PDF version of the book after a build and render.
- Render as HTML and PDF
- Produce a HTML (one file of the content) plus a PDF version. Select this option prior to clicking the Rebuild & render or Render book hyperlink.
- Render as PDF with page references
- Add the page reference for all internal links to other documents and bookmarks in the book PDF. For example, ‘see figure 1.1’ in the document becomes ‘see figure 1.1 (p. 10)’ in the PDF book. Using this option may change pagination so proof carefully.
- Document order
- List the order that the documents will be included in the book.
Type the correct number then click the Refresh hyperlink below Documents to change the order. - Documents
- A list of the documents added to the book. The document path is hyperlinked for editing access.
- Options
- Select the start page option for each document.
- No page break – Flow on from the previous document in the book.
- Page break before – Start on a new page in the book.
- Start on an odd page # – Start on an odd page in the book. The system will automatically include a blank page prior to the document if needed.
- Start on an even page # – Start on an even page in the book. The system will automatically include a blank page prior to the document if needed.
- Remove
- Remove a document from the book. This does not delete the file from the package.
- Refresh
- Refresh the screen if one of the documents has been modified to enable a render. After changing the order number of a file, use the Refresh to complete the move.
- Rebuild book
- Re-inserts the documents into the Writer book file whether changes have been made to the documents or not. Does not render an updated version of the PDF. Because the PDF is not being rendered, time is saved. Render the PDF when ready.
- Changes made directly in the Writer book file to inserted documents will be overwritten when the file is rebuilt.
- Add file(s)
- The book file selector displays. Select documents to be added to the book.
2.9.2 Create a book
A book can contain the combined content of selected files for printing.
Book file location
The location of the book file determines the location of the rendered PDF.
Package root
If the book file is created at the package root, the book PDF icon will be added to the right-hand corner of the Contents screen. There will also be a link in the left-hand navigation to either the PDF or HTML (depends on the selected render option in the book editor). The link on the left-hand navigation can be hidden via the Organizer.
Folder
If the book file is created within a folder (not a src folder) instead of the package root, the PDF icon will not be added to the Contents screen. There will be a link on the left-hand navigation to either the PDF or HTML (depends on the selected render option in the book editor) which can be hidden via the Organizer.
From the ICE toolbar, click the File view button.
Navigate to the location to create the book file. Usually at the root of the package. See section 2.9.2 Book file location.
From the ICE toolbar, click the Add tab.
From the Type dropdown list, select the relevant book file template. Type a filename in the Name textbox (without a file extension) then click the Submit button. The new file will be added to the file list with .book.odt at the end of the filename.
The Book editor screen displays to prepare the book.
Click the Open [filename].book.odt hyperlink to open the file and edit properties and cover pages.
From the Writer menu, select File > Properties.
From the Description tab, add details to the Title and Subject fields then click the OK button.
Modify the cover pages, if included or title of the first paragraph.
Close the Writer book file. After a refresh, the Title will display in the Book editor.
Click the Add file(s) hyperlink. The book file selector displays.
Navigate to a required file then click the Add file hyperlink. Continue adding files as required. Either add the files in the order to display in the book or re-order them later.
Click the OK button to close the book file selector.
If required, change the order of the documents. Replace the current order number with the correct number then click the Refresh hyperlink below the Documents list.
Select the start page option for each document.
If required, click the Remove hyperlink to remove a document from the book (does not delete from the package).
To render the book as PDF, select the Render as PDF only option then click the Rebuild & render book hyperlink. When the render is complete, the hyperlink will change to View PDF book. Click the hyperlink to open the book PDF. (If required, select the Render as HTML and PDF option prior to the render.) Wait for the process to finish.
Click the View PDF book hyperlink and proof the book PDF. If pagination or other modifications to the documents are required, edit and save the individual documents. Rebuild and render the book again.
2.9.3 Edit a book
Modify the individual documents as required.
From the ICE toolbar, click the File view button.
Navigate to the book file then click the Edit book
icon to open the book editor.If required, add/remove documents change the order or change the page start option.
Click the Rebuild & render book hyperlink. Wait for the process to finish.
Click the View PDF book hyperlink and proof the book PDF.
2.10 Conflicts
A conflict occurs when the same file being modified has changed in the repository since it was last synchronized with the server. ICE deals with this by making a copy of your modified file and replaces the modified file with the latest copy from the repository.
